The Cultural Programs department at the Visual & Performing Arts Center (VPAC) plays a critical role in fostering an engaging cultural environment by coordinating and managing events and activities within its facilities, including the Bruce Owen Theater. As part of an institution committed to delivering high-quality arts and educational experiences, the department provides comprehensive support for all events, encompassing front-of-house management, volunteer coordination, client relations, and facility logistics. The Event Manager position is a full-time, regular role categorized as exempt and offers an annual salary range between $38,106.53 and $40,011.86 based on experience and qualifications. This role is responsible for overseeing all inquiries related to space availability across all venues managed by the Cultural Programs department. This includes effectively coordinating front-of-house operations such as event setups, usher management, concessions, merchandise sales, and custodial services. The Event Manager provides initial pricing estimates to clients and facilitates the reservation of event spaces, ensuring proper resource allocation. Reporting directly to the Director of the Visual & Performing Arts Center, this position supervises key staff members including Front of House Leads and Event Coordinators, enhancing the organization's service delivery and operational efficiency. The successful candidate will leverage at least two years of prior experience in event coordination, project management, volunteer supervision, and theater front-of-house management to lead a dedicated team while maintaining smooth event execution. The role demands strong knowledge of volunteer management principles, supervisory methods, and event planning strategies, alongside proficiency in Microsoft Office and web-based volunteer scheduling and recruiting systems. Effective communication skills, both verbal and written, are essential for managing relationships with clients, coordinating interdepartmental activities, and addressing public speaking engagements. The Event Manager must be highly organized, capable of managing multiple projects simultaneously, and able to independently implement changes or resolve challenges. Physical demands include the occasional need to lift or move objects weighing up to 35 pounds, requiring near vision for reading communications and sufficient hearing and speech capabilities for interaction and phone communication. The work environment is generally safe but can involve unpredictable requirements or demands and includes varied hours such as evenings, weekends, and holidays to accommodate event schedules. Preferred qualifications include prior work experience at a Visual and Performing Arts Center or similar institution of higher education, and bilingual abilities are considered a valuable asset. Compliance training is mandatory on a quarterly basis, aligning with institutional requirements. The Event Manager will play a crucial role in maintaining high-quality programs, evaluating volunteer services, and ensuring all necessary contractual and safety documentation are in place for successful event delivery.
