Executive Sales Assistant to 3 Sales Reps
<p>Job Title: Virtual Sales Assistant (Supporting 3 Sales Reps)<br /> Location: Remote (Working New Zealand Hours: 8:00 AM – 4:00 PM NZT)<br /> Reports To: Sales Team / Sales Manager<br /> Start Date: To be arranged/flexible<br /> Employment Type: Full-Time, Remote</p> <p>About Tradelands<br /> Tradelands is a fast-paced and dynamic company that values initiative, attention to detail, and a proactive approach to work. We’re currently looking for a Virtual Sales Assistant to support three of our Sales Representatives and help streamline their day-to-day operations.</p> <p>Key Responsibilities<br /> Inbox Management: Monitor and manage inboxes for 3 sales reps, ensuring timely responses and flagging important communications.<br /> Calendar Coordination: Manage reps’ schedules, set appointments, and ensure meetings are organized efficiently.<br /> Sales Admin Support:</p> <p>Enter sales orders into NetSuite<br /> Create and edit quotes<br /> Draft and prepare follow-up emails<br /> CRM Management: Update and maintain customer records in HubSpot and NetSuite.<br /> Daily Check-ins: Run brief daily 1-to-1 virtual meetings with each sales rep to review and structure their day.<br /> Follow-up Coordination: Help reps stay on top of tasks, proposals, and client follow-ups.</p> <p>Skills & Experience<br /> Strong attention to detail – accuracy and thoroughness are essential.<br /> Confident with technology and CRM tools – experience with HubSpot or NetSuite is a plus, but training will be provided.<br /> Highly organized with excellent time management skills.<br /> Clear and professional communication skills – both written and verbal.<br /> Comfortable working independently and taking initiative.<br /> Able to manage multiple tasks and priorities across multiple team members.</p> <p>Ideal Candidate<br /> A natural ‘alpha’ personality – confident, assertive, and takes ownership.<br /> Friendly and approachable, with a team-player attitude.<br /> Not afraid to ask questions, speak up, and suggest improvements.<br /> Willing to learn, adaptable, and open to training and feedback.<br /> Previous experience supporting a sales team or working in a virtual assistant/admin role is highly desirable.</p> <p>What We Offer<br /> Full training on internal tools and systems<br /> Supportive team environment<br /> Flexibility to work from anywhere (within NZ hours)<br /> Opportunity to grow with a fast-paced, forward-thinking company</p> <p> </p> <p>We look forward to your application.</p> <p>Regards,</p> <p>Sales Team.</p>
