Sales Operations (CRM) Specialist and Management Assistant

<p><strong>Description</strong><br /> We are on the lookout for an experienced Zoho CRM Specialist. Responsible for optimizing and managing our client&#8217;s Zoho platform to ensure seamless processes, data tracking, order fulfillment, invoicing, consistently monitoring systems, supporting the logistical flow of operations, and efficient management.</p> <p>In addition to ensuring smooth communication with customers and internal teams by serving as a liaison and delivering top-tier support across multiple channels. Collaborate with sales, account management, marketing, and customer success teams to refine workflows and deliver tactical solutions that enhance performance and efficiency.</p> <p><strong>Core Responsibilities:</strong></p> <p>CRM &amp; Workflow Management: Maintain and optimize the CRM platform and streamline sales, order fulfillment, and invoicing workflows.<br /> Order Processing: Monitor incoming orders via email and portals throughout the day, confirm receipt, track status, and address discrepancies.<br /> Vendor Coordination: Issue purchase orders, confirm dispatch, and follow up to ensure timely fulfillment.<br /> Customer &amp; Vendor Liaison: Serve as the main contact for inquiries, updates, and order-related communication between customers and vendors.<br /> Invoicing &amp; Records: Generate and send invoices, and ensure all order-related documentation is organized and up to date.<br /> Issue Resolution: Proactively manage fulfillment issues, provide quality control, and escalate complex problems as needed.</p> <ul> <li>Salary: $1300 / month</li> <li>Type of Work: Full-time remote</li> <li>Work Schedule: Central US time zone</li> </ul> <p><strong>Requirements</strong><br /> In-depth background in a remote set-up of work similar to freelancing as an Independent Contractor (deep understanding of the pros &amp; cons involved in this industry).<br /> Hands-on experience with the Zoho platform (e.g., integration, ordering functions, and workflow automation)<br /> Experience with B2B Zoho set-up<br /> Strong understanding of the complete ordering process and how to optimize it using the CRM platform<br /> Ability to work cross-functionally with supply chains, sales, and customer success teams<br /> Strong problem-solving skills with a proactive approach to identifying and fixing CRM-related issues.<br /> Strong written and verbal communication skills.<br /> Quick problem solver- think quickly on their feet and tackle challenges with confidence.<br /> Prior customer service experience- ability to turn customer concerns into positive experiences.<br /> Adaptable and reliable- able to manage priorities in a start-up phase.<br /> Familiarity with CRM systems, order portals, invoicing tools, and spreadsheet software.<br /> Ability to stay organized, meet deadlines, and work independently with minimal supervision.<br /> Reliable internet connection and consistent availability during designated hours.</p> <p><strong>Preferred Qualities:</strong></p> <ul> <li>Prior experience with e-commerce, B2B order fulfillment, or vendor management.</li> <li>Detail-oriented with strong follow-through and time management skills.</li> <li>Solution-focused mindset with proactive communication habits.</li> </ul>
